Terms & Conditions
These are the Terms and Conditions that will apply to your booking of the Camp Wild Spirit Retreat at a private group camp in Versailles, Indiana. Please read them carefully as you agree with them by booking a retreat spot.
These Terms shall constitute the entire agreement between Amber Waves Creative LLC (the Host), and you, (the Guest), relating to the subject matter herein, and shall constitute a binding agreement. There is no verbal or written; representation, warranty, prior agreement, or description of services, other than as expressed herein.
The contract and booking is made with, and services will be provided by Amber Waves Creative LLC. By booking a retreat, you agree to be bound by these Terms and Conditions that govern the relationship, the cancellation policy and limitations of liability. These Terms and Conditions affect your rights and designate the governing law and forum for the resolution of any and all disputes.
BOOKING RETREAT & THE CONTRACT
All persons wishing to make a booking have carefully read and understand the Terms and Conditions that follow. By making a booking with Amber Waves Creative LLC, you accept on behalf of yourself and all those named on the booking, to be bound by these Terms and Conditions. A booking is accepted and becomes definite only from the date when Camp Wild Spirit Retreat sends a confirmation email, and when you have completed the payment.
PRICING & PAYMENT
All retreat prices shown are per person and are quoted and payable in USD. Camp Wild Spirit is not responsible for any fees incurred due to currency exchange or fees charged by your credit card/bank for processing funds in another currency.
Your Camp Wild Spirit 2027 retreat spot is $599 per person and includes lodging, meals, and full access to Camp Wild Spirit workshops and experiences.
Retreat Dates: Thursday, May 20, 2027 at 4pm – Sunday, May 23, 2027 at 12pm
Payment Options
Pay in Full: $599
6-Month Payment Plan: $105/month = $630 total
3-Month Payment Plan: $205/month = $615 total
Early Arrival: Available to arrive on Wednesday May 19 at 5pm for an additional $88. This includes the extra night of lodging and meals beginning with dinner on Wednesday.
All payments are non-refundable. Once you book your spot, we begin planning and committing funds for your lodging, meals, staffing, supplies, and other retreat logistics. We are unable to offer refunds for cancellations, illness, emergencies, late arrival, early departure, or failure to attend.
Payment plans are a commitment to pay the full amount of the selected plan. If a payment plan becomes delinquent and the balance is not brought current after notice, Camp Wild Spirit reserves the right to cancel the Guest’s reservation without refund of amounts previously paid.
We strongly recommend purchasing travel insurance like Allianz(with rates as low as $27), like we do for all retreat guests, to protect your retreat investment and travel costs to protect your investment in case an unexpected situation prevents you from attending. It’s quite affordable and can give you peace of mind, covering unforeseen events that might prevent you from attending.
Retreat spots may not be transferred, sold, or assigned to another person without prior written approval from the Camp Wild Spirit Retreat Host. Any approved replacement Guest must complete all required registration, payment, waiver, and agreement requirements before attending.
FAILED PAYMENTS
In the event of a failed payment, the Guest will be notified via email. The payment system will automatically attempt to retry the payment within 24-48 hours, and will retry the failed payment up to 8 times over the period of 2 weeks from the initial failed transaction. The Guest is encouraged to ensure that their payment details are accurate and up-to-date to prevent any disruptions. If payment issues persist after the auto-retry attempts, the Guest must provide updated payment information or settle outstanding balance within 48 hours of the final notification. Failure to provide updated payment information or settle outstanding balance within the specified timeframe may result in the cancellation of your retreat reservation. Any payments made prior to the failed transaction will be subject to the refund policy outlined in accordance with the cancellation terms.
MEDICAL CONDITIONS & SPECIAL REQUIREMENTS
The Guest must inform Camp Wild Spirit Retreat on the registration form of any medical, mobility, dietary, accessibility, or other physical or mental health considerations that may reasonably affect their ability to safely participate in the retreat or that Camp Wild Spirit should be aware of in order to accommodate them. Guests should provide only information that is reasonably necessary for these purposes.
Camp Wild Spirit takes place in a rustic outdoor environment and may include uneven terrain, walking on wooded trails, stairs, communal spaces, outdoor activities, heat/cold, rain, mud, insects, and other natural conditions. Some activities may involve physical movement or other inherent risks. Guests are responsible for determining whether they are physically and otherwise able to participate safely and should consult an appropriate healthcare professional if they have concerns.
It is absolutely vital that you are accurate with your relevant health, mobility, accessibility, and dietary needs for your own safety.
Camp Wild Spirit Retreat will do its best to meet Guest’s special requests including dietary and accessibility requests, but such requests do not form part of the Contract and therefore will not be liable for not providing these requests. We cannot guarantee that every request can be accommodated due to the nature and limitations of the property.
AGE REQUIREMENT
Camp Wild Spirit is an 18+ experience and is open to people of all genders. This is an adult retreat-festie created for adults to explore, connect, participate, play, learn, and be themselves in a supportive community. We welcome people of all genders and gender identities and are committed to creating a space where everyone is treated with respect and dignity.
All guests, facilitators, practitioners, vendors, artists, and participants must be 18 years of age or older at the time of Camp Wild Spirit. Minors may not attend Camp Wild Spirit, including with a parent, guardian, or other accompanying adult.
PETS & ANIMALS
No pets or animals are permitted anywhere on the Camp Wild Spirit property, including cabins, common areas, outdoor spaces, parking areas, or vehicles parked on the property. Please keep your pets at home.
CABIN LODGING + EXPECTATIONS
Cabin accommodations at Camp Wild Spirit are shared, communal, and rustic. Cabin assignments are determined by the Host. You may request bunking with a specific roommate. We will do our best to make assignments thoughtfully, but specific cabins, beds, roommates, or sleeping arrangements cannot be guaranteed.
You can choose between a women’s only, men’s only or co-ed cabin overnight lodging.
Guests should expect to share their cabin and common spaces with other Camp participants. Communication is essential with your bunkmates. Private lodging is not included with a standard retreat registration, and guests should not expect to have a cabin or room to themselves.
Guests are expected to:
Respect the privacy, personal space, comfort, and belongings of other Guests.
Keep shared spaces reasonably clean and orderly.
Keep personal belongings contained to their designated sleeping area and avoid taking over shared space.
Respect designated quiet hours and be mindful of noise at all times, particularly when others may be sleeping or resting.
Keep cabin doors closed at night for the safety, security, comfort, and privacy of everyone staying at Camp.
Use cabins, beds, furniture, and property respectfully and only for their intended purpose.
Follow any cabin-specific safety rules or instructions provided by the Host or venue.
Communicate respectfully with cabinmates if an issue arises and involve the Host if a concern cannot be resolved appropriately.
Guests are responsible for their own personal belongings. Camp Wild Spirit is not responsible for lost, stolen, or damaged personal property except where otherwise required by law.
Cabinmates and sleeping arrangements are part of the communal Camp Wild Spirit experience. If shared rustic lodging, unfamiliar roommates, communal living, or limited privacy would make you uncomfortable, please consider whether this experience is the right fit for you before registering.
The Host reserves the right to make or change cabin assignments when reasonably necessary for safety, logistics, accessibility, venue requirements, or the overall operation of Camp Wild Spirit.
INDEPENDENT FACILITATORS & PRACTITIONERS
Certain workshops, services, activities, and experiences at Camp Wild Spirit may be provided by independent facilitators, practitioners, artists, vendors, or other third parties. These individuals are responsible for their own services, offerings, professional practices, and interactions with Guests.
Participation in any third-party offering is completely voluntary. Guests are responsible for determining whether a particular activity, service, practice, or experience is appropriate for them and for communicating any relevant needs or boundaries to the person providing the offering.
If you have a concern, uncomfortable experience, conflict, or issue with a facilitator, practitioner, vendor, or other third-party provider, please come talk to the Host. You do not need to handle the situation on your own or confront the person directly if you are not comfortable doing so. Please understand that maintaining confidentiality may not be possible in every circumstance, particularly when safety, legal obligations, or the wellbeing of another person is involved.
Camp Wild Spirit reserves the right to address concerns involving third-party providers and, when appropriate, modify, restrict, suspend, or end their participation in Camp.
CANCELLATION OF RETREAT
Camp Wild Spirit Retreat reserves the right to cancel the retreat before the retreat start date for reasons including insufficient participation, venue issues, safety concerns, or circumstances beyond the Host’s reasonable control.
If Camp Wild Spirit cancels the retreat for a reason within the Host’s control, the Guest will receive a full refund of payments (minus 5% for card transaction fees) made to Amber Waves Creative LLC for the retreat, excluding any separate or third-party expenses incurred by the Guest OR transfer your balance to another future retreat.
If the retreat must be cancelled, postponed, or significantly altered due to circumstances beyond the Host’s reasonable control, including severe weather, natural disasters, government restrictions, public emergencies, or other force majeure events, the Host will communicate available options to Guests as soon as reasonably possible. Depending on the circumstances, these options may include rescheduling, transferring the booking to a future Camp Wild Spirit event, or a refund, in whole or in part.
Camp Wild Spirit Retreat is not responsible for any incidental expenses or consequential losses that the Guest may have incurred as a result of the booking, including travel arrangements, transportation, lodging outside of Camp Wild Spirit, lost wages, or other personal expenses. We strongly recommend purchasing travel insurance that provides appropriate coverage for your circumstances.
RETREAT GUEST RESPONSIBILITY
Camp Wild Spirit takes place on a private, wooded, rustic property in Versailles, Indiana. The Guest understands that the environment may present physical and environmental conditions that differ from those encountered in everyday life, including uneven and potentially slippery terrain, stairs, wooded areas, weather changes, insects, wildlife, mud, dirt, heat, cold, and other natural conditions.
The Guest is responsible for using reasonable judgment, following posted or communicated safety instructions, and participating in activities within their own abilities. Guests are responsible for bringing appropriate clothing, footwear, personal medications, and other items necessary for their individual needs.
Camp Wild Spirit Retreat reserves the right to prohibit any Guest from continuing to participate in the retreat, with no right of refund, if, in the reasonable opinion of the Host, that Guest’s actions pose a threat to the safety or wellbeing of themselves or others, significantly damage the property, violate applicable laws, or seriously interfere with the enjoyment or safety of the retreat for other Guests.
This includes, but is not limited to, harassment, threatening or abusive behavior, violence, discrimination, intentional property damage, or behavior that creates an unsafe or hostile environment.
The decision of the Camp Wild Spirit Host will be final on matters relating to the safety and well-being of the retreat community.
Camp Wild Spirit is intended to be a welcoming environment for people of all genders and backgrounds. Guests are expected to treat other participants, facilitators, practitioners, staff, volunteers, and the property with respect.
PHOTOS, VIDEO AND CONTENT CREATION
In the course of participation in the Camp Wild Spirit Retreat, photos or video may be taken by participants, guides, facilitators, practitioners, Host representatives, and professional photographers. These images may be used in promotional materials, website, social media platforms, advertising, and other Camp Wild Spirit or Amber Waves Creative LLC content.
By attending Camp Wild Spirit, you acknowledge that photography and video may occur throughout the event. We will make reasonable efforts to avoid using identifiable images of Guests who have opted out. If you do not wish to be photographed or filmed for promotional purposes, please notify the Host in writing before the retreat and identify yourself to the Host upon arrival.
You understand that Camp Wild Spirit cannot control photographs, videos, livestreams, or other content independently created or shared by other Guests or third parties.
RETREAT ITINERARY CHANGES
Camp Wild Spirit Retreat reserves the right to alter, modify, replace, or cancel workshops, experiences, activities, facilitators, practitioners, installations, schedules, or other program elements due to weather, safety concerns, availability, property conditions, or other circumstances.
Camp Wild Spirit is intentionally designed as a flexible, choose-your-own-adventure retreat-festie experience. Specific workshops, experiences, schedules, facilitators, practitioners, activities, and offerings are subject to change and are not guaranteed.
Many Camp experiences will take place outdoors and may be modified, relocated, delayed, or cancelled due to weather or other conditions. No refunds will be provided for individual activities, workshops, experiences, or program changes.
The Host may also make reasonable changes to the retreat schedule, lodging assignments, meals, spaces, or other elements of the Camp experience when necessary for safety, logistics, or the overall operation of the retreat.
DATA PROTECTION
To ensure that retreats run smoothly, Camp Wild Spirit Retreat needs to use personal information (such as name, address, special needs, health conditions, dietary requirements etc.) provided by Guests to Camp Wild Spirit Retreat, and also pass on such information to appropriate staff, facilitators, practitioners, venue representatives, caterers, or other service providers only when reasonably necessary to operate the retreat or accommodate the Guest.
Camp Wild Spirit Retreat will apply appropriate security measures to protect such personal data and will only pass on data that is applicable to those responsible for providing or supporting the retreat. By completing the Camp Wild Spirit Retreat Booking Form, Guests consent to this information being transferred as required.
Sensitive information will be handled only to the extent reasonably necessary for retreat planning, safety, accessibility, dietary needs, or other legitimate operational purposes.
LIABILITY
Camp Wild Spirit Retreat is not responsible for any improper or non-performance of any services forming part of the Contract which are wholly attributable to the fault of the Guest, the unforeseeable or unavoidable act or omission of a third party unconnected with the provision of any services to be provided under the Contract; unusual and unforeseeable circumstances beyond the control of Camp Wild Spirit Retreat and/or the relevant supplier, the consequences of which could not have been avoided even if all due care had been exercised including (but not limited to) an event of force majeure; or any event which Camp Wild Spirit Retreat and/or the relevant supplier could not even with all due care have foreseen or forestalled.
Camp Wild Spirit is an outdoor, rustic retreat experience, and participation may involve inherent risks associated with camping, outdoor recreation, physical activities, uneven terrain, weather, insects, wildlife, communal living, and the use of retreat facilities and equipment.
To the fullest extent permitted by applicable law, Camp Wild Spirit and Amber Waves Creative LLC are not responsible for loss, theft, or damage to a Guest’s personal belongings, except to the extent caused by the Host’s negligence or as otherwise required by law.
In the event that Camp Wild Spirit Retreat is responsible for any death, injury or illness caused by the negligent acts and/or omissions of its suppliers of services which form part of the Contract then Camp Wild Spirit Retreat limits its liability to the fullest extent permitted by applicable law.
Nothing in these Terms is intended to exclude or limit liability that cannot legally be excluded or limited under applicable law.
ACCEPTANCE OF RISK
The Guest acknowledges that the nature of the retreat is rustic, outdoor, experiential, and participatory and may involve a significant amount of personal risk. The Guest hereby assumes all such risk and does hereby release Camp Wild Spirit Retreat from all claims and causes of action arising from any damages or injuries or death resulting from these inherent risks.
Risks may include, but are not limited to, uneven or slippery terrain, falls, physical exertion, outdoor activities, weather conditions, insects, wildlife, fire, water, food-related issues, communal living, transportation to and from the property, and participation in workshops, movement practices, healing modalities, recreational activities, or other experiences offered during Camp.
At the time of payment, the Guest is required to review and agree to Camp Wild Spirit Retreat’s RELEASE OF LIABILITY, WAIVER OF CLAIMS, ASSUMPTION OF RISKS AND INDEMNITY AGREEMENT.
The Guest understands that the separate Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreement is an important part of the booking process and should be read carefully before agreeing to attend Camp Wild Spirit.
SEVERABILITY
In the event that any term or condition contained herein is unenforceable or void by operation of law or as being against public policy or for any other reason than such term or condition shall be deemed to be severed from this Agreement or amended accordingly only to such extent necessary to allow all remaining Terms and Conditions to survive and continue as binding.
APPLICABLE LAW
The Contract and these Terms and Conditions are subject to the laws of the State of Indiana. Any dispute arising out of or relating to these Terms and Conditions or the Guest’s participation in Camp Wild Spirit shall be resolved in accordance with applicable Indiana law and in a court of competent jurisdiction in Indiana, unless otherwise required by law.
WAIVER OF BOOKING CONDITIONS
These Booking Terms and Conditions may only be waived or amended by written mutual consent. When a Guest completes, submits and makes the payment for booking their place for the retreat, they agree to accept all these conditions, and when the booking is accepted, Camp Wild Spirit Retreat agrees to carry out the obligations as defined therein.
By completing a booking, the Guest confirms that they have read, understood, and agreed to these Terms & Conditions, as well as the separate Release of Liability, Waiver of Claims, Assumption of Risks and Indemnity Agreement.
